Clean the glass.

Little dots and globs on your copies are annoying, distracting, and make your documents look unprofessional. The good news is that this problem is pretty easy to fix. All you have to do is clean the glass with ordinary glass cleaner. However, be careful never to spray the glass directly with cleaning fluid. It won’t harm the glass directly, but the excess fluid can get into the inner workings of your copier and damage the electronics. To avoid this issue, simply spray the cleaner onto a cloth first. If your copier has a document feeder, be sure to clean that regularly as well.  

Use the right paper.

There are several things that can cause a paper jam, but a common cause is using the wrong paper. Check the manual for the list of paper weights and sizes that are compatible with your machine. You should also consider using higher-quality paper. All paper gives off “paper dust,” which is residue and particulate matter left over from the manufacturing process. Low-quality and recycled papers give off more of this dust than higher-quality options. Cheaper paper may save you money in the short term, but it can cost you more in the long run.  

Shut it down when the office is closed.

Turning off your appliances and devices when your office is closed will save electricity, but it also prolongs the life of your commercial copy machine. When your machine is not in standby mode all night or over the weekend, it is not drawing power or stressing the components. If the copier has been off for several days—after a long holiday weekend, for example—warm it up before you use it. Run a few test pages the ensure that your copier is ready to go.
