4 Tips for Maintaining Commercial Printers

07/01/22

If your office or business does a lot of printing, you know that it’s important to have a good quality printer and copier that works when you need it to. The last thing you want is for your printer to break down when you’re in the middle of a big print job. At Merrimack Valley Business Machines, commercial printers are our business, so we know how to keep them running.

Follow these four tips to maintain commercial printers and keep your business operations running smoothly.

Don’t overfill the paper tray.

One of the most common ways to break your printer is by putting too much paper in the tray. When it runs out of paper, it’s tempting to fill the tray to the brim so you don’t have to spend so much time reloading the paper. But if you overfill the tray, you’re almost certain to jam the machine. Most paper trays have a fill line to mark the maximum capacity. You always want to fill the tray to just below that line, never above.

Always use the right toner.

Not all supplies are created equal, and if you use low-quality or the wrong type of toner, you can ruin your printer. Different toner brands and types have different viscosities and they won’t all be compatible with your machine. Using the wrong toner for your printer can not only cause serious damage that requires expensive repairs, but it can also void your warranty. Always check the manual and only use toner from the recommended list.

Keep it clean.

The simplest thing to keep your printer in good shape is to keep it clean. Wipe off the printer’s exterior and the bypass and exit trays regularly. You should always wipe the trays away from the machine because dirt and debris can fall into the machine. If you ever have a paper jam, make sure you get everything out before trying again. Even the tiniest scrap of paper can wreak havoc with your machine if you try to print when the path isn’t clear.
